The major Munich trade fairs we cover

Munich's trade-fair calendar runs almost year-round, with peak weeks during the major exhibitions. Below are the four trade fairs we handle most frequently. Each has its own rhythm and its own typical exhibitor profile, but the underlying chauffeur logistics are similar: daily transfers, evening dinners, airport pickups for late arrivals, and the return journey at the end.

  • BAUMA (every 3 years, late spring): construction and mining equipment, the largest trade fair in the world by floor space – exhibitor teams of 10-50 with 7-day stand-by requirements.
  • IAA MOBILITY (every 2 years, September): the European mobility show with senior auto-industry executives, often combined with significant evening hospitality programs.
  • ISPO (annually, late January): sports and outdoor industry – international exhibitor teams from Asia, North America and Europe converging on Munich for 3-4 days.
  • EXPO REAL (annually, October): commercial real estate – senior executives with intense back-to-back meeting schedules, often requiring point-to-point transfers between hotels and the ICM.

For trade fairs not listed above (Drupa, Productronica, Electronica, Analytica, Inhorgenta, Munich Auto Show, etc.) we deploy the same multi-day team format. The familiarity with ICM and Messe München access and timing transfers across all fairs at the venue. Booking 4-8 weeks ahead is standard for the major fairs (BAUMA, IAA, ISPO). How trade-fair pricing works

Trade-fair bookings are typically structured as multi-day flat-rate packages: a daily fee covering 8-12 hours of stand-by, with the same chauffeur and vehicle. Add-ons like airport pickups (early-arriving team members) or late-night extensions (post-dinner returns) are quoted upfront. For multi-vehicle setups, you receive a single consolidated quote covering all vehicles. Most exhibitor teams book the package starting one day before the fair (for setup) through one day after (for pack-down).

  • Multi-day packages individually calculated: Hourly rates E-Class from €95/h, S-Class from €120/h, V-Class from €95/h, Premium Sprinter from €150/h. Contact us for a binding multi-day quote.
  • Airport pickups during the fair: typically included within the daily rate when integrated with the main schedule. Standalone airport pickups outside the standard hours quoted separately at fixed-price MUC rates.
  • Multi-vehicle corporate setups: 2-4 vehicles for larger exhibitor teams or sponsoring companies, with consolidated invoicing and a single operations contact across the engagement.
  • Booking lead time: 4-8 weeks for the major fairs (BAUMA, IAA Mobility, ISPO) is standard; 2-3 weeks for smaller fairs typically possible.

For corporate clients exhibiting at multiple Munich trade fairs across the year, we set up framework agreements that lock in pricing and reserve chauffeur capacity well in advance. This avoids the risk of being unable to book during peak weeks (BAUMA in particular sells out our capacity 6-8 months ahead). Will the same chauffeur cover the entire fair?
Yes – this is the standard. Same chauffeur and vehicle across the entire engagement, which means the chauffeur learns your team's patterns, preferences and individual quirks by the second or third day. For longer fairs (7-day BAUMA), we may rotate one rest day with a backup chauffeur briefed on your patterns.
What if my team's schedule changes during the fair?
Schedule changes are routine during trade fairs and not a problem. Simply tell your chauffeur or call our operations team. Daily timing adjustments, additional pickup requests for late-arriving team members and post-dinner extensions are handled on the spot. The multi-day flat rate covers reasonable variations within the daily stand-by hours.
Can you handle multi-vehicle setups for larger exhibitor teams?
Yes. For exhibitor teams of 15+, we typically deploy 2-4 vehicles handling different team members and shift patterns. A single operations contact coordinates across all vehicles, with consolidated invoicing at the end. Common setup: an S-Class for the senior team, a V-Class or Sprinter for the wider team, with shared morning and evening transfers.
Do you support late-night dinners and after-parties?
Yes – this is standard for trade-fair evenings. Client dinners running until 23:00-24:00, after-parties at sponsor events, and unplanned extensions are all handled. Our chauffeurs are there when you finish, not when their shift was supposed to end. Stand-by reliability is part of the multi-day rate.
How early should I book for BAUMA, IAA or ISPO?
For BAUMA in particular (every 3 years, the largest trade fair in the world by floor space), we recommend booking 4-6 months in advance because the fair sells out our chauffeur capacity. For IAA Mobility and ISPO, 4-8 weeks is standard. For smaller fairs and standard ICM events, 2-3 weeks notice is typically sufficient.
