For exhibitor teams and senior business travelers, the daily logistics during a 5-7 day fair – hotel to venue, venue to dinner, late-night returns to the hotel, the return airport transfer – are mostly invisible if they work and frustrating if they do not. We have run trade-fair logistics for exhibitor teams, sponsoring companies and visiting executives for years.
TRADE-FAIR LOGISTICS
A trade-fair engagement is not a single transfer – it is daily logistics across 5-7 days with predictable patterns and unpredictable variations. Most exhibitor teams have a roughly fixed daily schedule (early morning hotel-to-venue, late-evening venue-to-hotel, evening dinner runs in between), but the timing slips, late-night dinners run late, individual team members need separate transfers, and airport pickups for late arrivals or early departures need to fit around the main schedule. We hold the same chauffeur and vehicle across the entire fair, which means the chauffeur knows your patterns by day three.
Our chauffeurs know the access roads to ICM München (different from Messe München despite the proximity), the exhibitor entrances, the morning ramp-up timing and the post-event traffic patterns. This is built up over many seasons of trade-fair service.
For multi-day fairs (BAUMA runs 7 days, EXPO REAL runs 3 days, IAA Mobility runs 5-6 days), we hold the same chauffeur and vehicle for the entire engagement. The chauffeur learns your team's timing patterns, preferences and individual quirks.
Trade-fair evenings often run late – client dinners that finish at 23:30, after-parties, and unplanned extensions. Our chauffeurs are there when you finish, not when their shift was supposed to end. Stand-by reliability is part of the multi-day rate.

TYPICAL FAIR SCENARIOS
Munich's trade-fair calendar runs almost year-round, with peak weeks during the major exhibitions. Below are the four trade fairs we handle most frequently. Each has its own rhythm and its own typical exhibitor profile, but the underlying chauffeur logistics are similar: daily transfers, evening dinners, airport pickups for late arrivals, and the return journey at the end.
For trade fairs not listed above (Drupa, Productronica, Electronica, Analytica, Inhorgenta, Munich Auto Show, etc.) we deploy the same multi-day team format. The familiarity with ICM and Messe München access and timing transfers across all fairs at the venue. Booking 4-8 weeks ahead is standard for the major fairs (BAUMA, IAA, ISPO). Our vehicles: Mercedes-Benz V-Class and VIP Sprinter. Transfers to Messe München are coordinated with airport shuttle service from a single contact.
TRADE-FAIR BOOKING
Trade-fair bookings are typically structured as multi-day flat-rate packages: a daily fee covering 8-12 hours of stand-by, with the same chauffeur and vehicle. Add-ons like airport pickups (early-arriving team members) or late-night extensions (post-dinner returns) are quoted upfront. For multi-vehicle setups, you receive a single consolidated quote covering all vehicles. Most exhibitor teams book the package starting one day before the fair (for setup) through one day after (for pack-down).
For corporate clients exhibiting at multiple Munich trade fairs across the year, we set up framework agreements that lock in pricing and reserve chauffeur capacity well in advance. This avoids the risk of being unable to book during peak weeks (BAUMA in particular sells out our capacity 6-8 months ahead). Payment by bank transfer, credit card (Visa, Mastercard, Amex) or invoice on net-30 for corporate clients.
